Acceptable use policy

This policy sets out how the Pitch Perfect platform may and may not be used. It applies to every club and member of staff with access.

1. Responsible use

Pitch Perfect must be used only for its intended purpose: capturing coaches' feedback and delivering approved development reports to the guardians a club is entitled to contact. Use it lawfully, honestly and with respect for the children and families involved.

2. What is not allowed

You must not:

  • Enter personal data you do not have a lawful basis or consent to process.
  • Add guardians or contacts without the right to contact them.
  • Use the platform to send anything abusive, misleading, discriminatory or unlawful.
  • Record or share content that is not appropriate feedback on a player's development.
  • Attempt to access another club's data, another person's account, or any data beyond your permissions.
  • Probe, scan or test the security of the platform, or try to bypass access controls or parent link protections.
  • Scrape, copy or extract data in bulk except through features provided for that purpose.
  • Share parent access links publicly or use them to reach data you are not entitled to.
  • Interfere with the service, introduce malicious code, or place unreasonable load on it.

3. Safeguarding

If you become aware of a safeguarding concern, follow your club's safeguarding procedures and contact your Designated Safeguarding Officer. The platform's safeguarding flags support your procedures; they do not replace them.

4. Consequences

We may suspend or remove access where this policy is breached, where necessary to protect individuals or the service, or where required by law. Serious breaches may be reported to the relevant authorities.

5. Reporting misuse

If you believe the platform is being misused, or you have found a security issue, please tell us at info@nationfootballclub.co.uk so we can act.
